All of our events are booked and scheduled for employees via our employee scheduling system.

  • Once you’ve Accepted a shift, you cannot “un-accept” it; do not sign up for a shift unless you are 100% committed to working it.
  • The only shifts that will show up on your calendar are shifts you’ve Accepted, and those that are still pending your response.
  • Once you’ve Declined a shift, it will disappear from your calendar.
  • If you accidentally Accept, or Decline a shift, you can notify VHS in a timely manner via email.

There are two types of Shift Emails: Work Requests & Mass Emails

The Golden Rules

  1. Always swiftly respond to work requests via Staffmate. (Response isn’t required for Mass Emails unless you’re interested in working the shift in which you’d respond via email).

    • Even if you can’t work many events, as soon as you know your availability, you are required to log into your employee scheduler and Accept or Decline. This is crucial because it helps us meet goals, assess hiring needs, ect.
  2. Always be on time.

    • In DFW/Houston, traffic is always, always an issue. Please allot yourself plenty of travel time, anticipate difficult parking situations (bring cash for paid lots and coins for meters), and be signed in AT your call-time.
  3. Always look your absolute best.

    • One of the biggest things that separates us from the other staffing companies is our attention to attire and grooming. You need to always ensure that your uniform is flawless, your hair/skin are fresh and you’re smiling!

Attire & Grooming

Appearance is an incredibly important aspect of our job.  We are required to be neat, clean-cut and tasteful at all times.  Unfortunately, if you are not up to par with our standards, we retain the right to send you home without pay.

  • Women: All long hair must be pulled back neatly with no fly-aways or loose strands. Jewelry and make-up should be conservative. We require that women buy men’s shirts to avoid any uniform variations.
  • Men: Men must be clean-shaven, or neatly-trimmed. No earrings allowed.
  • Everyone: Visible tattoos must be covered up with a band-aide. No facial piercings are allowed.

Attire (Upper Body):

  1. White Button Down (WBD as abbreviated on staffmate): A dry-cleaned, white, long-sleeved men’s button down dress shirt containing NO buttons on the collar and NO patterns or emblems. Paired with a long, black tie.
  2. Black Button Down (BB or Black on Black as abbreviated on your employee scheduler): A dry-cleaned, black, long-sleeved men’s button down dress shirt containing NO buttons on the collar and NO patterns or emblems.  Paired with a long, black tie.

Attire (Lower Body):

  • Solid black, non-faded dress pants (no dark denim allowed); solid black, skid-resistant, polished dress shoes (no black tennis shoes allowed); Long, black socks (no ankle-socks) and a black belt.

Staff is required to ALWAYS carry a pocket wine-tool, and a small lighter.

“Is your reason for contact regarding a shift that starts within 24 hours or less?”

Contact Summary: Phone calls/texts are only to be used for last-minute emergencies, or for calling-in for a shift occurring within 24 hours or less.

Email is the preferred method of communication for everything else.

On-Site Rules

  • We never, ever allow cell phone use during paid hours. The best idea is to leave your phone in your car (unless the weather is extreme heat or cold).  It must not ever be seen by clients or client’s guests!  Staff will get banned from certain venues for cell phone use.  In addition to jeopardizing your employment with VHS, getting banned from a major venue can cut your work-load by 50-90%!
  • We never allow eating or drinking onsite unless specifically stated by the client or chef. If you are caught drinking alcohol, you can be immediately terminated.
  • In terms of customer service, I want you to think of it like this:
    • The answer is always “YES,” now what’s the question? Never tell a client or guest that you can’t or don’t know how to do something – and always, always smile!
    • Be resourceful: ask fellow workers how to do things that you’re unsure about.

Payroll Information

We use Direct Deposit to pay our employees bi-weekly.  If you do not have a bank account, you must sign up for a NetSpend card to receive your funds.  (We do not issue paper checks).

Event Cancellations (Upon Staff Arrival):

In certain occasions, events will be accidentally/improperly booked.  Viki Hall Staffing LLC will work to rectify the situation.

Phone Numbers & Emergency Contact Numbers

  1. DALLAS EMERGENCY CONTACT: Matt Hinson’s Cell: 578.7178. If you need to cancel and it is within a 24 hour time frame, call his cell.  If you’re running late, call him before the client does no matter what the reason.
  2. HOUSTON EMERGENCY CONTACT: Scot Dickey’s Cell:957.3351.  Scot Dickey is our Houston Operations Manager and your contact when Matt Hinson is on vacation or PTO.

Some important notes about your employee scheduler.

  • staffmAny new orders, cancellations of orders, or changes to existing orders are 100% dictated to VHS by its clients.
    • ALL changes to your schedule will be current on your employee scheduler, and you’ll get an email notifying you of the change.
  • If you are moved from one event to another, there is always a very good reason for it.
  • If you are removed from an event, please never take it personally, because it never is!
    • Clients cancel events, reduce order totals, or make last-minute/special requests and VHS has to comply.

To Summarize: Booking, scheduling and executing events is a surprisingly complex process that involves people, and thus, many moving parts.  Our process might seem overly-involved or even confusing at first, however, with a company of our size and the nature of the industry that we’re in, it is absolutely the most efficient and cost-effective solution.
